Job Description

Role purpose 
Our Food & Beverage Solutions (FBS) business unit houses our sales and commercial teams as well as dedicated finance resources. These teams often have significant targets and deadlines to meet which means that they need to work in the most efficient way possible. In this role, you will support the SVP & GM for our FBS business unit. Acting as a central point of contact for him and his global team, you will proactively organise their global team meetings as well as the annual conference that usually takes place in mainland Europe.

 


Main accountabilities
•    Extensive diary and travel management for the which includes creating detailed travel itineraries, sourcing, reserving and managing accommodation, visa applications, arranging ground transportation,  compiling and submitting travel expenses, etc.
•    Filter and categorise emails, efficiently handling urgent communications and prioritizing them
•    Create, edit and polish presentations 
•    Independently organise larger scale (30+ people) meetings at various international locations 
•    Organise monthly business review meetings, prepare agendas, prepare pre-reads for the SVPs team
•    Act as a champion for the ‘information and communication hub’ for FBS
•    Meet and greet guests at the London office ensuring that they are well catered for
•    General point of contact for all office related queries, ranging from office supplies, health & safety, meeting room bookings, trouble shooting and occasional on-boarding of new team members
•    Arrange events and meetings for the wider FBS organisation in conjunction with other PAs and provide absence cover for them as required (and vice-versa)
•    Process purchase orders and expenses in SAP 
•    Other projects e.g. Social Committee participation or safety committee are optional
•    Ability to travel  1-2 times a year (e.g. to facilitate meetings or conferences) as required
•    Assist team members as required
•    Any other duties as required

 


Skills and experience required  
Technical experience

•    Proven experience in a PA role supporting senior leaders with an international remit 
•    Extensive experience in diary management using MS Outlook
•    Previous experience organising complex and constantly changing international travel 
•    Strong knowledge of MS Outlook, PowerPoint, Word and Excel 
•    Previous experience organising large corporate events for senior level stakeholders in international locations
•    SAP experience is advantageous
•    Demonstrate good judgment, tact and discretion at all times
•    High level of attention to detail and meeting deadlines
•    Ability to filter and summarise high level information 
•    Calm and collected during at all times
•    Demonstrate flexibility in a growing and driven team
•    Strong track record working at pace, delivering with speed, agility and accuracy
•    Ability to work independently
•    Well organised
•    Friendly, helpful and patient
•    Professional and polite with a high level of customer service
•    Efficient multi-tasker
•    First class communication skills, written and verbal
•    Fluent in English 
•    Additional languages (French, German) are beneficial
