EA to EVP of Corporate Affairs & VP Global Communications

Job Description

Role purpose 
Our Corporate Affairs team is a vibrant, positive and effervescent team that comprises all corporate communications and corporate affairs across the organisation. The team is responsible for communicating all messages globally internally and externally using a broad range of channels. In this role, you will provide full EA support to our Executive Vice President Corporate Affairs and our Vice President Global Communications. You will also have the opportunity to support on corporate communications projects that sit outside of the regular EA scope so a genuine interest in communications will be beneficial.

 


Main accountabilities
•    Schedule and coordinate local and global meetings, video and telephone conference calls, including the preparation and circulation of documentation, organising refreshments, reserving meeting rooms etc.
•    Keep ahead of, and accurately document, complex and changing diary requirements 
•    Lead end to end planning and organising for local and international conferences and awards
•    Schedule and coordinate monthly Executive Committee meetings hosted internally and off-site
•    Organise frequent domestic and international travel creating thorough itineraries, applying for visas, reserving all transport and accommodation, organising all events, activities, meals, etc.
•    Create and edit presentations in line with our brand guidelines 
•    Initiate and submit expense claims using our online tool and verify expenses prior to approval
•    Oversee the supplier payment process for the Corporate Affairs and Communications teams 
•    Collaborate with the Communications team from time to time on activities such as photography and videography, creating and publishing communications; participating in brand awareness and engagement events as well as some design work using Photoshop
•    Ad-hoc projects from time to time
•    A creative flair and passion for corporate communications is beneficial
•    Always ensure that sensitive information is handled with confidentiality and maturity
•    Act with professionalism
•    Meet and greet visitors, acting with a high degree of customer service at all times

 


Skills and experience required  
•    Previous experience providing EA support at ExCo level in a corporate Head Office of a global organisation   
•    Faultless diary management even when diaries and calendars are ever-changing
•    Experience organising events and meetings in-house and offsite globally
•    Minimum intermediate level MS Office including Outlook, Word, and Excel, as well as the Internet. Excellent PowerPoint skills 
•    Experience creating documents using design suites such as Photoshop or InDesign
•    A genuine interest in photography and videography, perhaps you have previously taken photos or produced video content
•    First class communication and interpersonal skills – a customer-centric / customer first approach
•    Easily able to proof read documents and test them for accuracy and relevance
•    Strong EA skills with the ability to work systematically through a high volume of activities independently
•    Effective internal and external stakeholder management with the ability to liaise with people at all levels 
•    First class organisation and time management skills, with the ability to prioritise actions and meet deadlines
•    Experience of working with Expenses systems and SharePoint sites
•    Friendly and patient
•    Proactive and able to work at pace independently
•    Attention to detail and accuracy
