In Research, Development & Quality (RD&Q), your skills can be the special ingredient that brings our brands to life. As part of a fantastic team of scientists, engineers and nutritionists, you’ll work tirelessly on product design or development, process development, quality, nutrition, sensory and food safety aspects to ensure we deliver a consistent, delightful consumer experience. RD&Q is where you’ll turn great ideas into brilliant brands. Purpose of Role: Senior Executive Assistant supporting the EVP, RD&Q as well as one to two additional senior leaders. Main Responsibilities: Relationship Management Act as interface and manage first contacts with other internal or external senior leaders; requires daily contact with all levels of management, often dealing with confidential information. Interaction involves regular communication requiring interpretation, persuasion and discretion. Calendar, Meetings & Travel Management Manage an ever-changing executive calendar, including planning meetings and conference calls. Must be able to manage calendar across different time zones. Coordinate complex travel accommodations, including flights, travel visas, hotel reservations, maps, directions, and ground transportation across the globe. Plans logistics for RDQ LT face-to-face meetings (in East Hanover or overseas) including venue, food, local travel and other important logistics. Engages local support as needed Active participation in decisions affecting executive’s and/or department’s schedule/priorities. Manages department timelines Correspondence Prepare and revise meeting and presentation materials. Create general correspondence, including letters, memos, e-mails, and reports. Reads and prioritizes mail, highlights actions and routinely authors responses Analytics & Expense Reports Prepares spreadsheets, databases and/or documents Analyzes and verifies data used to prepare various reports Maintain general office functions by updating and maintaining databases and files, preparing and processing expense reports, etc. Responsible for expense reporting and tracking (Concur and Amex) Project Support Provide key support for non-routine, projects and assignments as needed, including tracking and follow-up to ensure that all required data, forms, contracts, etc., are clear, complete and timely. Prioritizes, organizes and delegates workloads/assignments independently Independently identifies and initiates process improvement areas across department, site or function with limited direction Other Special projects as needed Backup for other executive assistants as needed Qualifications A minimum of 5 years’ experience providing administrative support at the senior executive level Experience in a global company or supporting a global leader. Excellent organization and interpersonal skills. Professional maturity – good judgment and diplomacy skills Ability to build great internal networks and relationships with key stakeholder groups, such as IS, Facilities, HR, senior leaders, other admins, etc. Dynamic team player, high initiative thriving in a global, diverse environment Can anticipate and respond to executive’s needs and demands. Resourceful, thinks on her/his feet. Works independently and comfortable making decisions. Self-motivated to make a difference. Ability to prioritize multiple tasks. Tech Savvy - advanced proficiency with MS Office (PowerPoint, Word and Excel) and overall affinity and interest in new technology. Demonstrated ability to use company systems, like Concur and Videoconferencing technology, and willing to learn new ones quickly as needs arise. Exceptional verbal and written communication skills. Fluency in a second language a plus. Attention to detail and accuracy. Good judgment and able to handle highly confidential information/situations Poised under pressure and able to adapt in a fast-paced environment Must be highly flexible and available to assist with early morning or late-night meetings or conference calls.
